Introduction

Every click, message, or transaction you make leaves behind a trail.  This invisible stream of facts, figures, and signals is what we know as data, the raw material powering today’s digital world. 

In business and technology, data isn’t just an abstract concept – it’s the foundation of decision-making.  Without accurate, accessible data, organisations would be navigating in the dark, relying on guesswork instead of evidence.

But data quality provides an organisation with a lot of challenges.   When it’s inaccurate, incomplete, inconsistent and duplicated, it leads to incorrect insights and poor decision-making.  Typically, this results from wrong “information” being shared, which becomes the truth on which subsequent decisions are based.

Facilities teams and the assets being used generate huge volumes of data every day, tracking everything from asset performance and maintenance schedules to space usage and energy consumption.   But without a clear data strategy, this information risks becoming more of a burden than a benefit.

According to MRI Software’s Voice of the Facility Manager (VOFM) 2025, 46% of facilities management professionals agree that data-driven decision making will shape the future of the industry over the next five years.  However, they’re facing the challenge of having plenty of data but struggling to turn it into meaningful information and action.  In an era where efficiency, compliance, and sustainability are paramount, this is a gap that must be addressed. 

Facilities management is seeing an explosion of data generated by buildings, the rise of Internet of Things (IoT) devices and the increasing need for efficiency and sustainability.  It’s critical for FM to look at how Data Analytics delivers many benefits:

  • Enhanced Predictive Maintenance – by analysing data from sensors and equipment, facility managers can predict when maintenance is needed before a failure occurs. This proactive approach reduces downtime, extends the lifespan of assets, and helps to minimise maintenance costs.

Ignoring Data Analytics

Conversely, when data is inaccurate, siloed, or inaccessible, the consequences ripple throughout the entire facilities function, hindering performance, reducing efficiency, and limiting strategic value, leading to:

  • Maintenance becoming reactive and Inefficient – fixing issues only when they occur. Maintenance schedules become inconsistent or based on outdated assumptions, leading to increased equipment breakdowns, unplanned downtime, and higher repair costs.  This not only disrupts operations but also shortens asset lifespan and undermines the ability to plan proactively.
  • Compliance risks increasing – when maintenance logs, safety checks and inspection records are stored in disparate systems – or worse, not documented at all – it becomes difficult to prove compliance with regulatory standards. This exposes organisations to health and safety risks, potential legal action, fines, and reputational damage. 
  • Cyber risks being amplified – poor facilities data can create a cascade of potential failures ranging from operational disruptions to severe financial and legal penalties. Inaccurate, inconsistent and fragmented data creates vulnerabilities that can be exploited by malicious actors. 
  • Trust in digital solutions eroding – even the most advanced technology can’t deliver results if it’s built on poor-quality data. When users see inaccuracies in dashboards, receive incorrect alerts, or struggle to find consistent records, their confidence in any system quickly fades.  This can lead to under-utilised software, resistance to further digital adoption and a lack of return on technology investments.
